Getting Started: Checklist for Implementing Rafiki AI
Welcome to Rafiki AI. This checklist will guide you through setting up your organization so your team can start capturing insights from every conversation.
1. Sign In to Rafiki AI
Create your account or sign in at app.getrafiki.ai. Rafiki AI supports three sign-in methods:
Email and password -- create an account with your work email
Google SSO -- sign in with your Google Workspace account
Microsoft SSO -- sign in with your Microsoft 365 account
2. Invite Your Team
Navigate to Settings > User Management to invite team members. You can assign users as Admins or standard Users. Each invited user will receive an email with instructions to join your Rafiki AI organization.
3. Integrate Your Calendar
Connect your calendar so Rafiki AI can detect upcoming meetings and automatically join them for recording.
Google Calendar -- connect via Google OAuth in Settings > Integrations
Microsoft Outlook -- connect via Microsoft OAuth in Settings > Integrations
4. Set Up Recording
Configure how Rafiki AI's Notetaker bot joins your meetings. Go to Settings > Recording and choose your recording rule:
All Meetings -- the bot joins every scheduled meeting automatically
External Only -- the bot joins only meetings with external participants
Invite Only -- the bot joins only when explicitly invited to a meeting
Rafiki AI supports recording on Zoom, Google Meet, and Microsoft Teams.
5. Integrate Your CRM
Connect your CRM to unlock Deal Intelligence and automatic call summary syncing. Rafiki AI supports:
Salesforce
HubSpot
Pipedrive
Zoho CRM
Close
Freshworks CRM
Monday.com
Go to Settings > Integrations and follow the OAuth flow for your CRM.
6. Integrate Dialers (Optional)
If your team makes calls through a dialer, connect it so Rafiki AI can capture and analyze those conversations too. Supported dialers include:
Aircall
Kixie
Dialpad
OpenPhone
RingCentral
Twilio
CloudTalk
SalesLoft
Outreach
7. Set Up Topics and Trackers
Rafiki AI automatically detects discussion topics in your calls. You can also create custom Trackers to monitor specific keywords and phrases that matter to your business -- such as competitor names, product features, pricing language, or objection patterns. Configure these in Settings > Topics & Trackers.
8. Configure Scorecard Templates (Optional)
If your team uses structured call reviews, set up Scorecard templates in Settings > Scorecards. Define questions, assign weights, and publish templates so managers can score calls on a 0-5 scale with weighted averages.
9. Explore AI Features
Once your meetings are being recorded, take advantage of Rafiki AI's AI-powered capabilities:
Smart Call Summary -- AI-generated meeting summaries with key topics, action items, and next steps, automatically synced to your CRM
Smart Follow-Up -- AI-generated follow-up emails drafted from call transcripts
Ask Rafiki AI -- natural language search across all your conversations and CRM data with streaming AI responses
AI Reports -- template-driven AI report generator for deal win/loss analysis, account health, and rep performance
Role Play -- AI voice training simulator for reps to practice sales conversations
